How to use Time Slot - Shipper Guide

Introduction

The Time Slot service allows shippers to manage the scheduling of loading and unloading activities at their facilities. It is designed to reduce congestion, improve visibility, and enable better coordination with carriers. This guide explains how shippers can set up and use the Time Slot service, including all relevant roles, workflows, and system behaviors.

Key Concepts

  • Facility: A logistics location (e.g., a warehouse or a plant) where resources like docks are scheduled
  • Resource: A schedulable unit within a facility, typically a dock
  • Time Slot: A defined interval within a facility schedule when a resource can be booked
  • Shipment: A transport operation with a Ship From or Ship To location, linked to a facility
  • ETA: Estimated Time of Arrival, used to evaluate if a time slot booking remains valid

Getting started

Access the service

  1. Log in to your Logivity account.
  2. Click the Time Slot icon in the left navigation panel.

Create a facility

A facility is required before any shipment can be booked.

  • Click on 'Add Facility'. 

  • In 'Facility Details' you can give a unique ID and name assigned to the facility. 

  • Under 'Facility address' enter: 

    - Address line 

    - Postal code 

    - City

    - Country 

    The 'Longitude' and 'Latitude' will be auto-filled when the full address is filled in.

    See example below with filled address. 

     

Add Resources

Each resource represents a loading or unloading area.

  • Enter a 'Resource name' (e.g., “Dock 1”).
  • Choose Days, Hours, and Slot Duration.
  • (Optional) Add Tags for filtering or identification. 
  • Click Add Opening Hours.
  • If needed, click Add Next Resource to create more resources and repeat above steps.

Allowed carriers

Decide which carriers can book slots at this facility.

  • To restrict access → Select carriers from the list.

  • To allow all → Leave blank.

Booking & Assignment 

Book a slot

Please note that you can only add a shipment to one timeslot.

In the 'Logivity Time Slot' you can see your created Facilities. 

  1. Open your facility by clicking its Facility ID.

  2. In Calendar Overview, select a day in the calendar.

  3. In the calendar view, click on the desired time slot where you want to add the shipment.

  4. You will be presented with shipments available to book time slot for on your selected day. Click 'Add time slot' to book a shipment into your selected time slot.

     

  5. In the Vehicle and Time Slot Details section, make sure the following fields are filled in or selected:

    -  Shipment Reference #

    -  Carrier (use the search function if needed)

    -  License Plate [Fill in manually]

    -  Time slot From (hh:mm) and To (hh:mm) [Fill in manually]

    -  Resource (dock or loading area)
     

  6. Once all details are entered, click Save changes to confirm and save the booking.

Book several shipments on one time slot

For transports containing several shipments you can book offloading into one time slot, for example when one truck or trailer carries several shipments under different booking numbers. To book several shipments to one time slot, follow the steps below:

  1. In Time Slot Calendar Overview, select the pick-up or delivery date, depending on if your time slot booking is for loading or offloading.

  2. Select the time slot you wish to book

  3. After you selected the relevant time slot, the system will show shipments that are available to book for that day and time. Click on "Add to time slot" next to those shipments you wish to book into your selected time slot.

  4. Your selected shipments will be added to the selected time slot. Fill in the required information under "Vehicle and time slot details".

  5. Save your time slot booking.

Managing Changes

You can easily modify or update existing time slot bookings directly in the Calendar Overview.

  1. Select the day the time slot is booked for and click on the time slot booking in the schedule. 

     
  2. The Vehicle and Time Slot Details panel will open.
  3. Adjust details such as time, license plate, or resource as needed or cancel your time slot booking.
  4. Click Save to confirm the update.

Update booked time after ETA change

  1. Go to Shipment Overview and find the shipment.

  2. Click on the concerned shipment.

  3. In the shipment status click on Update ETA.

  4. Follow the instructions in [länk]

    NOTE:  Use this option for short delays or rescheduling within the same arrival day.

If a shipment booked into a time slot has had an ETA update for pick-up or delivery, the previously booked time slot needs to be reviewed to match the new ETA. You will notice if an ETA has changed in the shipment list in Control. A red warning icon will appear next to the updated shipment, and the pick-up/delivery date text will be shown in green color with text "(adjusted date)". This means the Estimated Time of Arrival (ETA) has changed and the current Time Slot is no longer valid. 

⚠️ Always rebook the Time Slot when ETA changes — this ensures the shipment is accepted on arrival and avoids gate delays.

  1. To rebook the time slot for a shipment where an ETA has changed, go to Time Slot service:
  2. Open the relevant facility:
  3. Select the date that has been previously booked for the shipment you wish to update and locate your existing time slot booking.
  4. Click on the existing booking to make changes. You can update the Equipment id, time window and/or resource from here. Click "Save changes".
  5. To cancel your time slot booking without rebooking it, click on "Cancel booking".
  6. To rebook the shipment onto a different day, cancel your booking first as shown above. And then follow these steps to rebook it onto a time slot on a new arrival date.
     

Cancel your time slot booking

  1. To Cancel a booking:

    - Select the shipment in the Calendar Overview.

    - Click Cancel Slot to remove the booking.

    - The calendar will update instantly and notify the carrier if assigned.

Problem Resolution
I cannot see time slots
  1. Please check the facility schedule set up as described in the instructions under this link.
Shipment not appearing in calendar
  1. Please check if the location specified on the shipment is the same as the facility where you are trying to book a time slot.
  2. Please check if you are booking a time slot for the correct date, it should be the same as the booked date on your shipment
Carrier cannot see assigned slot
  1. Please ensure that the shipment is assigned to the correct carrier and that the carrier has accepted the shipment.
