How to create a shipment offer?

Introduction

This article describes how to create a new shipment offer in the Loadboard service.

Prerequisites

"Create shipment offer" functionality is available to organizations registered as "shippers" on Logivity.

Step-by-step Instructions

1. Log in to your Logivity account and go to Loadboard service in your vertical navigation bar (1).Click on "+Create" button to start creating a new shipment offer (2).

2. Select transport mode you wish to create a shipment offer for (1). For "Sea" shipment type you can also choose the load configuration - FCL or LCL (2). For Road and Air shipment types you can configure service level details - whether the shipment has express or standard lead-time (3). 
You can also apply a pre-configured shipment offer template (4).

3. Configure pick-up and delivery location details. This can be done by applying a pre-configured template (1), searching for your location details by typing the address into the "Address" bar (2) or entering mandatory details manually (3). Each of the locations can be saved as a template if you wish to re-use this data next time you book a Loadboard shipment (4).

4. Define pick-up & delivery slots. Here you enter a date for pick-up and delivery and define the earliest pick-up time / latest delivery time or a from-to time window.
You can also add location opening details and contact person(s) for pick-up and delivery. This information is not mandatory. Contact person details can also be saved as a template.

5. In the next step you can configure your Transport Order. Add your Transport order ID, and any references and messages to carrier, if necessary.

6. Configure cargo details:

  • Unique transport unit is an individual item - define the dimensions and details about it. Volume will be calculated automatically.
  • Transport unit group is several items of the same dimensions & weight - you can add them as a group and specify the dimensions and weight once. Total volume and weight for the group will be calculated automatically.

Unique Transport Units & Transport Unit Groups can be saved as templates (1). 
It is possible to have both types of units on the same Transport Order - you can use "Add another Transport Unit" option in this case (2). You can also add attachments to your Transport Order if necessary (3).

For Sea and Air shipment types there are additional configuration options available:

1. Sea - container type & pick-up method, incoterms and other commercial details

Your shipment volume and weight summary will be calculated automatically. Once you have filled in the transport order details, click "Next" to proceed to the next step.

7. The final step is to configure your shipment offer:

  1. Add a unique shipment ID
  2. If your organization's Shipper account has several reference numbers, you will be able to select the reference number relevant to your business area.
  3. Define the deadline for bids to be placed by
  4. Bid validity after deadline - defines for how long the carrier should be committed to the bid they made. If the shipper assigns a carrier to the shipment offer before this deadline, then a carrier is obliged to do this transport. If the shipment is not awarded within this defined window, the shipment will be annulled.
  5. Define the currency for bids to be placed in

In "Bid details" you can configure the following settings:

  • Allow users in your organization to award a shipment to a carrier before bidding deadline runs out
  • You can allow Custom bid - if there is flexibility with a shipment offer, carriers can give alternative pick-up and delivery dates and offer a bid based on that.

Define the award type. Shipment offer can be awarded manually (1) or automatically (2) to the lowest bidder (not possible when Custom bid is allowed).

If "Lowest bid" is selected then you need to define the minimum number of bids required and can even add the maximum price for auto-award. When bidding window closes, the system will automatically award shipment offer to the lowest bidding carrier as long as configured criteria is met.

For "Road" shipment types, you can also configure the recommended vehicle capacity and fuel type. This can later be included in the CO2 emission calculation for this transport.

Lastly, select carriers you would like to invite to bidding process for this shipment offer. You can either search and select carriers from "All Carriers" list (1), or you can create and use "Carrier lists" templates (2). To create a carrier list template, select the carriers you wish to save in your list (3) and tick "Save selected carriers as a Carrier list" (4).

8. Once the shipment information is filled in, click "Next" and check your shipment offer details. If you would like to save the entire shipment offer as a template, you can do that by clicking "Save shipment offer as template" at the bottom of the shipment overview screen.

When you have finished reviewing the information, click "Create Shipment". You will receive a confirmation that shipment offer has been created and will be able to see this shipment offer in your Shipment list in Loadboard.
